(1) Hours
Harv - make all weekdays 7 to 10 p.m.; most traffic is about 8 to 8:30 p.m.
Objection/Concern:
Steve - 3 hours is not a lot of time
Counter: Most people only get two hours anyway (since they show up at 8 p.m.)
Gary - I want to open at 5 p.m.
counter: I can’t make it at that time - I work.
Gary, I absolutely disagree. I come and open the shop, clean up, early. People are here. Do you have a problem if I come here and work in the shop before we’re open?
Steve - if Gary wants to make an arrangement with someone, or work with someone, without a second person - that is okay. The front gate should be close
To be done:
update website
update bikeboom posting
make new shop hour flyer
Phone Line - we need to get a phone (everyone except Josef said this)
Phone bill needs to be paid - talk to Hector (Josef, talk to Hector - forward information to Harv)
Phone list of contacts needs to be improved
Computer bullshit - Mauricio/Steve - can we get it working?
(2) Tools

Steve - organizing day - Gary and Linda and Harv have already set up a day to do this
Linda - set up an area for parts
Gary - lumber for bench area - or I use it to build my fence
Move R2D2 thing out of the way, move shelves;
Place to clean - back area (hector’s stuff) & under the bench area - need our crew to come in and help out;
(3) Volunteer promotion
Josef - volunteer meeting, a regular meeting(?)
regular meeting is a social thing - we don’t have regular members …
Steve - if you don’t empower those people to make decisions, they say “am I your nigger?”, we need to recognize those people who step up;
Gary - I want John to be here, and be a part of this; He has put in a lot of time and energy;
J. Harvey and John Raspa endorsed; Steve Campos?
“We need to define the roles” - Steve Itano
What’s a good way to share our contact info?
Where are the girls? Ericka - from Occidental. Postings up on a forums? Sure.
It is hard to get people to stay - there are different levels of things for them to do.
People start by coming to help out in the shop.
Josef - our web-site needs to be updated and maintained, events our posted;
Czara is just waiting;
A volunteer could do something for us - take a photo of a party, post about it online on our site
Make a video of short film
posting to the calendar
help run an event
steve - come in “throw down” - let’s see if you’re ready for the next level in this crew;
Everyone told about the volunteer sign-ing sheet/book
Steve - to Mauricio - quit fucking around with the Kitchen thing, we need something in here that just works - an Excel sheet or something
PROMOTION - John Harvey and John Raspa; Paul Barclay - voted in?
Wrangle this issue - who will do it? Arthur is the volunteer coordinator.
Tracking hours, our policiy is on our forum (volunteer page on web-site! - from forum)
Josef - to Arthur - any direction that you take it, that would be really what we need; any simple system you can organize; something that lets Arthur know what is up
Contact sheet - NEEDS TO BE FORMATTED - for Steve Itano and Others
Google Calendar - needs to be amended to have numbers in front of names
(4) Financials
Janina - we have $743 + money in cash box
That is including $300 from last month
midnight ridazz $?!
Manny … he’s on his way to La Habra … someone should talk to Manny
Steve: financial plan … how do we deal with money that comes in the door …
Gary: discrepancies every night of a few dollars
Josef: I am pissed about getting stolen during events
Gary; there is a key at the cash box
What is up with the money system?
Keys for the filing cabinet? No we don’t have a set.
We need a heavy thing to drop money into that heavy thing at the end of the night;
Do we keep money here?
For now, Janina gets our money like Al Qaeda;
Gary - takes keys, Janina takes the box;
Josef: I give Gary the money every night - it makes its way to Janina
Steve: That works well until Gary gets run down in the street. Gary is tied down too.
Locking drop-box - or a large locking mailbox
Gary - I am going to start ubilding an underground bunker
We don’t have a bank account, no dba - short term storage at the Oven;
Janina’s day is Monday - she collects our cash
Josef - we need something secure in the short term; because we don’t have a bank account, which means we can’t dump our cash off every night after
Janina gets our money on Monday and Thursday; posts total on Forum - It is “Core Member” only - to keep that info away from the tax man;
How big a deal is the DBA? Tax ID # needed.
Gary has a wholesale I.D. - he can use his tax number to purchase stuff
Business Deets - Harv did a lot of research 501(c)4 -
The first step in us being prepared to file paperwork.
Nonprofit - 501 c 3 - religious, mutual benefit (a club), public benefit - sporting groups
filing fees look to be under $200
we use that paperwork to apply for business licenses, etc.
Arthur’s question - liability?
When you become a 501, the corporation indemnifies everyone who works for the corp. The Board of directors are liable - through a cash deposit, a bond, or an insurance policy for risks inherent to the operation of the corp. No insurance = board is liable.
So, we need some suckas to be on the board of directors
Insurance needs to be figured out - cost, types of coverage;
“Vote” go forward with the 501(c)(4)
Everyone is okay with the idea it seems
Steve Itano - Bikeability Survey - Ed Reyes got hit by a car twice when he was a kid.
(5) Shop Policies - Steve Itano - individual decisions made without consensus - like the Art Show; it should have been approved, in some way, by the group of 5; The concept was good, the night was positive, but it should have been handled in a better way - what kind of commitments can someone from the Oven can make on our behalf;
Use the forum, personal communication, to let everyone know what we’re planning on doing at the Oven;
-Someone asks one of the five core peeps
-They bring it to the group - see if there is any conflict (logisitcs OR personal/political conflicts)
-The core member “sponsor” is in charge that night
Proposal time: two weeks is mandatory lead time; You can’t plan a thing unless you can get a “go ahead” from the core volunteer group
Gary - anything that affects the flow of the shop needs to be approved by all of us
Josef - wants to keep things loose;
Steve - either everyone has the ability to commit the shop, or we have some rules for everyone OR we have rules for different individuals - and we spell those out
-WE CAN ONLY GIVE QUALIFIED “YES” to everyone -
Gary has a problem with the art people having the place be theirs for the night; we us as a group need to keep track of shit behind the counter;
We need a physical barrier to access to the behind the counter area;
Steve - we could take some responsibility for our policies - and prepare the shop for events - large banners that connect with hooks to the wall; permanent barrier to access behind the counter
Gary - preventative measures to keep “random” people from getting at stuff
Steve - we need something to force people to make a conscious decision about doing what we don’t want them to
GARY TO MAKE SOME SORT OF chain w. sign to prevent access to behind the counter.
Put doors on glass cabinets
Hooks on wall + banner to hang over tools wall
Glass case doors go up
chain with a “shop peeps only” sign to block access to glass shop
Gary gets the go ahead vote to make any physical improvements to the front desk area (razor wire, pit bull)
PRICING - bike frames and prices for bikes and bike frames - Harv gets hit up to create a bike frame price list & a tagging system
Harvey and Steve Itano and Linda Wei are going to tag things, price them, and establish a system of organizing the bike frames
IF NOT OTHERWISE TAGGED - IT WILL BE UP FOR SALE, ETC.
(6) Web-site stuff/Schedule
Admin page on Bike Oven site:
Google Calendar (shop schedule)
Link to Forum (or forum)
a Script that would take web-site event calendar and put them on Google calendar
Web-site calendar page - and main site page needs a more prominent calendar
Josef offers to show people how to post calendar events and posts to our web-ste - to get info up on our site - internet presence is key in L.A.
(7) Upcoming events

Saturday had a film being made at the shop
nov. 9 - spoke(n) art - gary is putting together art show
Gary - BMX double header night - RAD & Anna Nicole Kidman’s first movie - can Arthur pass along the 80’s BMX night
Josef - “The Exiles” shown in 3 different locations in L.A. - first 30 minutes shown at Oven, move downtown to show rest of film, end in elysian park “hill x” and get boozed and show rest film; do the same thing with “Killer of Sheep”;
FIlm - Bike Oven gets put in the “thank you” section; Linda is going
Rickshaw - shave down axle bolts - make it easier to get in door; Keep rickshaw - but it needs to be easier to get in and out.
Harv - panel in the door, and paint it
Clinics - brakes clinic on Friday - that info needs to be communicated and posted! Please send info to Josef/post them on calendar
Assessing the cash flow is one more important element in the organization strategy format, so as to sustain a normal money flow to meet the essential capital needs. Probability of monetary crisis and also the ways of crisis management must be mentioned in the structure. The business strategy must consist of the marketing plans and strategy leading to the expansion in the organization.
